If product names or addresses shift into the wrong columns, check content commas versus separator commas before deleting punctuation across the file. A blanket replacement can change the data itself.
Why quoted fields matter
RFC 4180 describes comma-separated fields and quoting for content containing commas, line breaks or double quotes. Quotes inside a quoted field are represented by doubled quotes.
This illustrative example has two columns, not three:
item,note
Box,"red, large"
The note remains one field. Removing its enclosing quotes turns the comma inside the note into a separator.
Text lines are not always records
An address or note can span several lines inside a quoted field. Extra lines in a text editor do not, by themselves, prove that another record exists. We suggest reviewing the table alongside its headers.
| Symptom | What to check |
|---|---|
| Product name splits into two cells | Is its comma protected by quotes? |
| Note appears as multiple records | Is its line break inside a correctly quoted field? |
| Internal quotation closes a field early | Did the sender export embedded quotes correctly? |
| Everything appears in one column | Does the import use the file's delimiter? |
Convert a copy and compare
- Keep the CSV and request an example of the intended table.
- Open Convert document, select CSV and choose XLSX.
- Inspect fields containing commas, quotes and multiline notes.
- Compare record counts with the source, rather than merely counting text lines.
- If incorrect, ask the sender to export again from the original table.
The site's reader supports quoted fields and embedded line breaks and guesses a delimiter from sample data. That guess can be wrong. Conversion is not an automatic repair for every malformed CSV.
Separate other problems
If columns align but Thai text is garbled, see CSV encoding. For changed identifiers, read long CSV codes. Incorrect formula totals have a different cause: see saved XLSX formula results.
Before a real import, we recommend a small sample containing these edge cases and a check of the values actually read by the destination.
